Wedding Invitation Proof Checklist

Before you approve — check everything twice

Once you approve your digital proof, your stationery will be printed exactly as shown — and no further changes can be made. Use this checklist to review every detail carefully before sending us your written confirmation.


Names & People

    Spelling of All Names

    Check every name on the invitation — bride, groom, parents, and any other people mentioned. Does your father-in-law spell his name Alan or Allen? Check with family members if you're not certain.

    Titles and Honourifics

    If you're using formal titles (Mr., Mrs., Dr., The Reverend), make sure they are applied consistently and correctly throughout the suite.


Date, Time & Venue

    Wedding Date

    Double-check the day, date, month, and year — all four. Make sure the day of the week matches the date (e.g. "Saturday, the first of March" — does the first of March actually fall on a Saturday that year?).

    Ceremony Time

    Is the time correct? If your ceremony starts at "three o'clock in the afternoon," consider whether you'd like to build in a small buffer for late arrivals.

    Venue Name & Address

    Check the full name and address of your ceremony venue and, if different, your reception venue. Include the city and postcode — you'd be surprised how often these are omitted. If the venue is outdoors, consider whether you need to include "in case of rain" wording.

    Reception Details

    If your reception is at a different venue, make sure all details — name, address, time — are correct on your details card or insert.


Wording & Text

    Grammar & Punctuation

    Have at least one other person read the proof — ideally someone who didn't write the wording, as a fresh pair of eyes catches errors you might have missed. Note that formal invitation wording typically does not use punctuation to separate lines — line breaks are used instead.

    Consistency of Style

    If you've chosen formal wording (all words spelled out, no numerals), check that this is applied consistently throughout every card in the suite — invitation, RSVP, details card, and any additional inserts.

    Honour vs. Honor / Favour vs. Favor

    If you're getting married in a place of worship, the traditional spellings are "honour" and "favour." If not, either spelling is acceptable — just be consistent.

    RSVP Date

    Your RSVP deadline should typically be 3–4 weeks before your wedding date — this gives you time to follow up with guests who haven't responded, and to provide your caterer with a final guest count.

    Meal Choices

    If you're serving a plated meal, check that all menu options are listed correctly on your RSVP card. Make sure there is a space for dietary requirements if needed.

  • 12

    Accommodation & Travel Information

    If you're including accommodation or travel cards, double-check all hotel names, addresses, phone numbers, booking codes, and "reserve by" dates. Check routes in Google Maps to make sure directions are accurate.


Design & Layout

    Spacing & Line Breaks

    Look for any accidental double spaces between words. Check that each line breaks at a natural point — you wouldn't want to split a time, a date, or a name across two lines.

    Readability

    Are the fonts easy to read? Is any wording too small or too large? If you're unsure about readability in a particular font, let us know and we can advise.

    Consistency Across Cards

    Make sure the fonts, colours, and styling used on your main invitation are carried through to your RSVP card, details card, and any additional inserts. Each piece should feel like part of the same suite.

    Envelope Addressing

    If you've ordered envelope addressing, check your submitted spreadsheet carefully before sending it. We will print names and addresses exactly as provided — we do not proofread or amend guest information. Any errors in spelling, address formatting, or names that are submitted incorrectly will be printed as submitted.


A Few Proofreading Tips

Before you approve
  • Read the proof from bottom to top — it forces you to look at each line individually rather than skimming.
  • Read it out loud — your ear will catch things your eye misses.
  • Have at least two other people read it — fresh eyes catch different errors.
  • Check the proof on a printed copy if possible, not just on screen — layouts can read differently on paper.
  • Leave it overnight and read it again with fresh eyes before giving your final approval.

We cannot accept returns or issue refunds for errors present on customer-approved proofs, regardless of where the error originated. If your finished stationery does not match your approved proof, please contact us at hello@polina-perri.co.uk immediately and we will reprint the affected items at no charge.
